SIEF Communication

Are you on your own to prepare the registration? How do you go about finding out the intentions of co-registrants? What is the best approach to contacting the other SIEF members in an efficient way? How should you store all communication and make sure that each co-registrant has access to information previously distributed?

What will you have to do?

According to REACH you are obliged to communicate certain information in the SIEF

  • You have to share data and agree on tests to be conducted in order to avoid duplication of studies
  • You have to choose a Lead Registrant
  • You have to agree to a common classification and labelling

Those activities must lead to a single joint submission for each substance, avoiding unnecessary costs.

How should you begin?

Before engaging or deciding on the best approach, you might first want to ascertain the availability and willingness of co-registrants.

ReachCentrum offers you the possibility of initiating free initial SIEF survey – anonymously if you wish - to evaluate interest and registration intentions of your co-registrants.
According to the result of this survey, we can then analyse and determine together what would be the most appropriate support for you.

What to consider?

A SIEF needs to be active until 2018. Therefore, it is important to keep track of all activities. ReachCentrum has set up its own tool to organise SIEF communication for its customers: LINKinSIEF. This development is based on our experiences and hence is modelled to fit your needs. LINKinSIEF is hosted on a dedicated server and administered in-house.

How to communicate?

A SIEF in LINKinSIEF can be administered by the Lead Registrant itself or managed by one of our project manager.
To set up the SIEF in LINKinSIEF, the xml file from REACH IT containing all pre-registrants needs to be uploaded on the system. Passwords are automatically created and sent upon request to each contact from this xml-file. This enables us to administer and manage SIEFs of any size. Individual accesses can be set up on request.

Once the xml file is loaded into the system, a dedicated site is created for the respective SIEF. Here the administrator can:

  • Store documents in pre-defined folders
  • Organise surveys and votes
  • Set up a workspace for the Leadership Team

Approach

For each of our projects containing SIEF communication support, a communication strategy needs to be agreed upon to determine which information is to be communicated when and in which form to the SIEF. Templates are available to streamline the process:

  • Overview of all milestones to be communicated/decided upon
  • Progress reports for updated communication
  • Templates for votes and surveys
  • Standardised formats for collection of information (data, uses, substance identity)

In accordance with the agreed strategy, ReachCentrum will also handle all individual requests that need to be treated outside the communication platform.
